Use Case | How to send automated SMS appointment reminders and cancellations in Microsoft Dynamics and Power Automate

Goal: Automatically remind customers about upcoming appointments and notify them promptly if one is cancelled, using Sinch Power Automate - so no-shows go down and cancellations are communicated instantly.

Customer industry: Professional Services

A professional services organization books demos, consultations, and meetings as Appointments in Microsoft Dynamics. No-shows for these appointments were costly - lost selling time, wasted consultant hours, and last-minute cancellations that staff often didn’t hear about until the appointment time had already passed.

By connecting Dynamics Appointments to Sinch Power Automate, the organization now sends an automatic reminder text 24 hours before an appointment, and an automatic cancellation text the instant an appointment is marked Cancelled - sent right away, without waiting behind the reminder timer.

Implementation requirements

Product setup:

  • Sinch Power Automate connector authenticated
  • Appointment entity in Microsoft Dynamics with a Cancelled status available
  • SMS-enabled sender number provisioned
  • Cloud Flow created and turned on in the relevant Dynamics environment

Data requirements:

  • Appointments with a Contact or Lead listed as a required attendee
  • Valid mobile number on the Contact or Lead record
  • Appointment subject, date/time, and location populated

Workflow summary

  • Trigger: 24 hours before an appointment start time (reminder), or the moment an appointment is marked Cancelled (cancellation, sent immediately)
  • Audience: Contacts or Leads listed as a required attendee on the appointment, with a valid mobile number
  • Message examples:
    • Hi Sarah, reminder: you have an appointment “Product Demo” on 15 Aug 2026 02:00 PM at Suite 4, 10 King St. Reply CANCEL to cancel.

Key use cases and setup guide:

Send a 24-hour appointment reminder

  1. Create a new Cloud Flow in Power Automate.
  2. Add a Dataverse trigger ("When a row is added, modified or deleted") scoped to the Appointment table.
  3. Add a condition to check the appointment is newly scheduled and still open.
  4. Inside the True branch, add a Delay until action set to 24 hours before the appointment start time.
  5. After the delay, add a Get appointment step to re-check the appointment is still open (in case it was cancelled during the wait).
  6. Add a condition to confirm the required attendee is a Contact or Lead with a valid mobile number.
  7. Add the Sinch Power Automate "Send SMS" action, mapping in the attendee's mobile number, appointment subject, date/time, and location.
  8. Save and turn on the flow, then test with a sample appointment.

Send an instant cancellation notice

  1. In the same Cloud Flow, add a parallel condition to check whether the appointment status has changed to "Cancelled."
  2. Inside the True branch, list the required attendees for the cancellation and compose the cancellation message.
  3. Add a condition to confirm a valid mobile number is available for the attendee.
  4. Add the Sinch Power Automate "Send SMS" action to send the cancellation text immediately — this branch runs independently of the reminder branch, so it isn't held up by the 24-hour delay.
  5. Save and turn on the flow, then test by cancelling a sample appointment.

This results in customers being reminded ahead of time and notified instantly on cancellation, reducing no-shows and confusion without extra staff effort.

FAQs

  • Why didn’t a customer get a reminder or cancellation text?

    Check that the required attendee on the appointment is a Contact or a Lead - if it’s only an internal Dynamics user, no text is sent, which is expected behavior, not a fault. Also confirm a valid mobile number is on file.

  • Does replying CANCEL actually cancel the appointment?

    The reply prompts the customer to request a cancellation; make sure the flow or a linked process actually updates the appointment status when a CANCEL reply is received, or route it to staff to action.

  • If an appointment is rescheduled, does the reminder update to the new time? 

    In this example - No. The reminder delay is set relative to the appointment's original start time when the flow first runs. If the appointment is rescheduled afterward, the reminder still fires based on the original time, not the new one.
