The Batch SMS feature allows you to send a message to multiple recipients at once by referencing a Saved Search. Messages can be personalized by using merge fields or templates and can be sent immediately, scheduled for a later date, or set to send at recurring intervals.
Note - Batch SMS is available for the following record types: Customer, Lead, Prospect, Employee, Contact, Vendor, Partner, and Sales Order. |
Prepare a Saved Search Recipient List
To send a Batch SMS, the recipient records will need to be selected from a Saved Search, so you'll need to have one prepared first. Follow the below best practices when creating Saved Searches to use with Batch SMS:
- The destination phone field should be included in the search, should not be empty, and should match the record type's preferred phone field setting in the MessageMedia Preferences record.
- Transaction saved searches for Sales Orders should filter by "Type = Sales Orders" and "Mainline = True"
- Customer saved searches should include Stage and filter by either Customer, Lead or Prospect

Send Messages with Batch SMS
Navigate to the Batch SMS feature by going to MessageMedia SMS > Batch SMS > New Batch SMS:
You'll then be taken to the Batch SMS screen:
1. Saved Search - Add your message recipients by using a pre-prepared Saved Search. Just drop your curser into the search field and start typing the name of the Saved Search and it should come up below.
2. Selection & Custom Phone - Once you've selected your Saved Search, you can select individual records from the list to send to, or select all. You can also opt to use the custom phone field (set in MessageMedia Preferences) as the destination instead of the default preferred field.
3. Header - Optionally, add a header for your message (i.e. a personalized greeting).
4. Footer - Optionally, add a footer for your message (i.e. a signature or sign-off).
5. Sender ID - If you'd like to send your message from a specific Sender ID, select it from the dropdown menu here, otherwise leave this blank and the system will just use the default Sender ID.
6. Templates - If you have a pre-saved message template you wish to use, select it from the drop-down menu here, otherwise leave this blank.
7. Composer - Write your main message here. You'll see the character count climbing at the bottom, as well as any special character alerts if you include Unicode characters (i.e. emojis).
8. Merge Fields - To personalize your message, you can add merge fields from records (i.e. name).
9. Preview - See how your message will read in the preview.
10. Send or Schedule - When you're ready, either click Send (to send now) or Schedule (to schedule the send for later). Scheduled messages can be set to send as a one-time occurrence or can be set to recur (see the below additional instructions to schedule recurring sends).

Schedule Recurring Batch SMS
When sending Batch SMS, you can schedule the message to recur so it automatically sends at repeated, predetermined intervals.
1. Once you've constructed your message, click the Schedule button:
You'll then be presented with the scheduling window:
2. Select the Recurring option.
3. Nominate your preferred Recurring Interval.
4. Choose the sending Start Date.
5. Now choose the sending Time
6. Click on Schedule Message to set the message recurrence.

Disable Recurring Batch SMS
1. Log into NetSuite as an Administrator.
2. Navigate to MessageMedia SMS Batch SMS List Batch SMS.
3. Find the recurring job you want to disable and take note of the Internal ID number.
4. Now navigate to the MM - Recurring SMS Job record page using the search bar above the menu ribbon:
5. Toggle the Edit button to enable inline editing.
6. Locate the Recurring SMS Job you want to disable using the Internal ID number.
7. Under the Active column heading, click on the line item and uncheck the box:
8. Toggle the Edit button again to confirm the changes.
9. The Recurring SMS Job is now disabled.

API Credential Prioritization
When sending an SMS message, the application will send using API credentials in the following priority:
1. Individual credentials
2. Global credentials
This means, if a user has individual credentials assigned, messages sent from that user will send using their individual credentials. If not, then the messages will be sent using the global credential.
